Platform
- What is Arqueum?
- It is Arqueum's document management, process and governance platform: the complete document lifecycle — create, classify, review, approve, publish, consult, retain and archive or dispose — with rules, owners and evidence at every step.
- Do I need additional software to view files?
- No. The platform previews more than 65 file formats right in the browser, with nothing to install.
- Is electronic signature a separate tool?
- No — it is native to the platform, with signing order, a detailed certificate, simple and advanced classes and ICP-Brasil e-CNPJ support, inside the document's own workflow.
- Do workflows require development?
- No. Steps, owners, delegation, deadlines and notifications are configured in the platform itself, with no additional development.
- Does the platform integrate with Microsoft Teams, Google Workspace and Office?
- Yes. Word, Excel and PowerPoint work directly on the platform, with no downloads and uploads; Teams and Google Chat get notifications, the document assistant and meetings with AI; and REST APIs — plus a SOAP layer for legacy systems — bring the document and the answer into the routine that already exists.
- Can the platform be adapted to my operation's specific needs?
- Yes. Classification plan, document types, attributes, workflows and permissions are configuration — and whatever is specific to your organization comes in through plugins, without changing the product.
Artificial intelligence
- Does Arqueum's AI use my documents to train models?
- No. Content is used to answer the question, not to train third-party models — and Arqueum does not keep the content: every step runs in the customer's own cloud subscription.
- Can the AI answer using documents the user cannot open?
- No. If the user cannot open the document, the AI cannot use it to answer: retrieval applies the user's permissions and every answer cites its source.
- Am I required to use the AI?
- No. Each AI service is enabled by contract, service by service, and the intelligence layer can be enabled or turned off without affecting the document operation — with AI off, the flow remains manual and in the same order.
- Can I use different cloud providers per AI service?
- Yes. The provider is a customer configuration, resolved at runtime — chat on one cloud and translation on another is a valid combination, and switching providers is reconfiguration, not migration.
- What does the AI service catalogue include?
- Chat with documents citing the source, semantic search, automatic classification, translation of content and of documents with the layout preserved, summaries, read-aloud, audio transcription, OCR and meetings with AI — transcript, minutes, translation and dubbed video.
- Does the AI publish or decide anything on its own?
- No. The AI classifies and suggests, with a confidence level per field; nothing is published automatically — a suggestion needs a human to become a decision.
- How is AI service consumption billed?
- Cloud consumption is billed directly by the chosen provider, on the customer's own subscription — you enable what makes sense for the operation and pay only for that, directly to your provider.
Architecture and infrastructure
- Does the platform run on-premises?
- Yes — it runs on-premises, on your own infrastructure, and also in the customer's private cloud, on Microsoft Azure, Amazon Web Services or Google Cloud.
- Does the platform run in the cloud?
- Yes — it runs in the customer's own private cloud (Azure, AWS or Google Cloud) and also on-premises, including the hybrid scenario: the document platform in your environment and the AI services on your cloud subscription.
- Does my data leave my environment?
- No. From the published document to the cited answer, every step happens in the customer's environment and cloud subscription — data residency is a configuration decision, with an objective answer for legal teams.
- Does it work across sites with a poor link?
- Yes. Each site has its own application server and database: browsing, search and access run on the local server, and the operation continues even with the link down — the link is for syncing, not for working.
- Is there a high-availability scenario?
- Yes — duplicated application servers, the database in an availability group (SQL Server Always On), a file repository external to the servers and proactive monitoring; final sizing is defined during the project.
- How does the platform authenticate users?
- Through the customer's corporate directory — Microsoft Entra ID, IAM or Cloud Identity — with group synchronization; provider credentials and keys are encrypted at rest, with one key per service and per-customer isolation.
Licensing and commercial
- How does licensing work?
- The license is a one-time, perpetual license per instance — not an annual subscription. Document management, processes and intelligence come in the same license.
- Is there a cost per user, volume or storage?
- No. Unlimited users, with no charge per named user, per document volume or per storage space.
- What is included in the license?
- Document platform, workflows and approvals, electronic signature, retention rules, connectors and integrations, AI services, multi-site replication, implementation consulting and version updates — what is in scope is in the license, with no additional module in the middle of the project.
- Is training included?
- Yes. Implementation includes up to three trainings by profile — technical administrators, functional administrators, and readers and contributors — plus an expert Q&A office hours period after go-live.
- How does support work?
- There are support plans for different needs — from business hours to 24x7 coverage — with SLAs and service levels defined by contract, including platform version updates.
- How much does it cost?
- The investment depends on scope — instance, deployment scenario and support plans — and is presented in a proposal. Talk to Arqueum.
